Identification
What identification is required?
All patients must present a valid, non-expired state-issued Driver's License, State ID card, Passport, or Passport ID card prior to receiving services.
Privacy & Confidentiality
How is my health information protected?
This practice complies with HIPAA and is committed to protecting the privacy and confidentiality of all patient health information. Protected Health Information (PHI) is used and disclosed only as permitted or required by law, or with written patient authorization. While safeguards are in place, no electronic communication or storage system can be guaranteed to be completely secure. By using this website or electronic communication, you acknowledge these inherent risks.
What rights do I have regarding my health information?
Patients have rights regarding their health information, including the right to access records and to request copies or amendments as allowed by law. Please contact our office to submit a records request or amendment.
What are the limits of confidentiality?
Confidentiality has limited exceptions required by law: if there is imminent risk of harm to yourself or others, if there is suspected abuse of a child or vulnerable adult, or if records are subpoenaed by a court. These limits will be discussed with you at the start of care.
Consent
What is the consent process?
Before starting telehealth or psychiatric services, we obtain informed consent. This outlines the nature of services — including psychotherapy and medication management — potential benefits and risks, your rights as a patient, and your ability to withdraw consent at any time. This process is especially important in the context of child mental health and psychiatric evaluations.
Appointments & Cancellations
How do I schedule an appointment?
You can book an appointment through our online booking system or by contacting our office directly. New patients are welcome. We offer both in-person and telehealth appointments.
What is your cancellation policy?
To ensure quality care for all patients, we ask that you provide advance notice for any cancellations or rescheduled appointments. Medication management appointments require at least 24 hours' notice. Initial sessions and psychotherapy sessions require at least 48 hours' notice. Late cancellations may be subject to a fee of up to 50% of the session rate. No-shows may be charged up to 100% of the session rate.
How long are appointments?
Initial psychiatric evaluations are typically 60 minutes. Follow-up medication management appointments are 20–30 minutes. Therapy sessions are 50 minutes. Telehealth appointments follow the same time structure.
Under what circumstances may care be discontinued?
Patients may terminate care at any time for any reason. Novara Psychiatry PLLC may also terminate the provider–patient relationship at its discretion with written notice in cases including, but not limited to: abusive or threatening behavior, illegal activity, inappropriate communication, repeated nonadherence to treatment or clinic policies (including three or more missed or late-canceled appointments), or failure to meet financial obligations. Termination of care does not relieve the patient of any outstanding balances owed for services rendered.
Prescriptions & Controlled Substances
When are prescriptions and refills provided?
Our office provides refills and renews prescriptions only during scheduled appointments. This policy reduces errors, improves patient safety, and ensures appropriate follow-up care.
What is the controlled substances policy?
Novara Psychiatry may prescribe controlled substances for patients diagnosed with anxiety, insomnia, or ADHD as part of a comprehensive medication management plan. All patients — and guardians, if applicable — must sign a controlled substance agreement before starting treatment.
What are the rules for controlled substance prescriptions?
The following apply to all controlled substance prescriptions: Random drug screens or medication counts may occur at any time. Patients should use no more than two pharmacies for prescriptions. A positive test for illicit drugs, non-prescribed medications, or missed doses may lead to discontinuation of controlled substances. If needed to prevent withdrawal, a short supply of no more than 30 days may be provided. Patients who violate this agreement will no longer be eligible for controlled substance prescriptions from Novara Psychiatry PLLC and will need to seek another provider for those medications. Non-controlled medications and other services may continue at Novara Psychiatry PLLC.
Insurance & Fees
Do you accept insurance?
We accept several major insurance plans. Please contact our office to verify your specific coverage before your first appointment. We also offer self-pay options for those without insurance or who prefer to pay out of pocket.
Do you offer a sliding scale?
We have a limited number of sliding scale slots available for patients who demonstrate financial need. Please inquire at the time of scheduling.
Forms & Documentation
Is there a fee for completing forms and letters?
There is a fee for completion of paperwork, forms, and provider letters, including FMLA, disability, and work or school accommodation documentation. FMLA and disability paperwork are not completed during the initial visit. In general, patients must be established in care for at least six months before these requests will be considered. Completion of all documentation is at the provider's discretion and based on clinical judgment and medical necessity. Submission of a form does not guarantee completion or approval, and processing times may vary.
Telehealth
How does telehealth work?
Telehealth appointments are conducted via a secure, HIPAA-compliant video platform. You will receive a link before your appointment. All you need is a private space, a device with a camera and microphone, and a stable internet connection.
Is telehealth as effective as in-person care?
Research consistently shows that telehealth is equally effective for most psychiatric and therapy services. We offer both options so you can choose what works best for your life.
